Migrating existing email accounts

This guide explains how to copy existing mail into Business Email mailboxes, then move incoming mail by changing the MX records, without losing messages.

Before you begin

  • The new mailboxes, created with How to create an email account.
  • The current MX, SPF and DKIM records, written down so you can restore them if needed.
  • The old mail service kept running until the migration is confirmed.

Changing MX changes where incoming mail goes

Between the MX change and the end of DNS spreading, some messages may go to the old service and some to the new one. Do not cancel the old service during this time.

Steps

  1. List your mailboxes. Note each address, the approximate size of its mail, and the people who use it.
  2. Test with one mailbox. Copy one mailbox from the old service to the new one first.
  3. Copy the mail. Use the export tool of your old provider, or a mail app or IMAP migration tool that copies folders from the old server to the new one. Keep the folder names the same.
  4. Check the copy. Compare the message counts in the most important folders.
  5. Plan the MX change. Choose a quiet time. If your DNS provider allows it, lower the TTL of the MX records a day in advance.
  6. Change the MX records as described in How to add MX records. Confirm the change with dig.
  7. Update each device with the Business Email settings. See IMAP and SMTP settings.
  8. Keep the old service until mail is confirmed. Cancel it only after new mail has arrived correctly for several days.

Before cancelling the old service, run a final incremental copy and inspect sample messages and attachments, not only counts. IMAP does not copy contacts, calendars or forwarding rules automatically. Export and recreate those separately, keep a verified independent backup, and remove temporary migration credentials.

Expected result

All mailboxes contain the copied mail, incoming mail arrives at Business Email, and every device sends and receives correctly.

If something goes wrong

  • Some folders are missing messages. Copy those folders again and compare the counts.
  • Mail still goes to the old service. Check the MX records, and wait for the TTL to pass. Read Email not receiving.
  • Sending fails on a device. Check its outgoing settings. Read Email not sending.
