Spam filtering and troubleshooting

Symptoms

  • Legitimate mail goes to the spam or junk folder.
  • Mail does not arrive in a hosting mailbox.
  • Mail does not send from a mail app or webmail.
  • The mailbox shows that it is full.

Common causes

  • Spam filtering marks a message as likely spam, based on its content or sender.
  • The address is misspelled, or the mailbox does not exist.
  • The mailbox has reached its storage limit.
  • The sending settings in the app do not match the hosting account details.
  • The domain's DNS records for email are missing or incorrect.

Safe initial checks

  1. Check the spam folder of the mailbox first.
  2. Check the address for spelling and check that the mailbox exists in the Email Accounts section.
  3. Check the storage limit in the panel. Look at how full the mailbox is.
  4. Check the settings in your mail app against the details in your hosting account. See Email client settings.

Spam filtering is part of hosting email. Check the spam options your panel offers, and do not assume a filter catches every message. No filter can guarantee inbox delivery.

Step-by-step solutions

  1. Recover a legitimate message from spam. Open the message in the spam folder, mark it as not spam if the option exists, and ask the sender to check that their own mail settings are correct.
  2. Investigate false positives. Check the filtering reason and ask the sender to verify SPF/DKIM alignment, sending reputation and message content. Adjust a narrow filter only after reviewing a legitimate sample; do not allow all mail or disable filtering globally.
  3. Fix a missing mailbox. Create it as described in Create and manage mailboxes.
  4. Free space in a full mailbox. Delete old messages or ask support about the storage limit.
  5. Fix mail that will not send. Check the password, the server name and the port in the app against your hosting account details.
  6. Fix DNS email records. Use the records shown in your hosting account. Do not copy Business Email DNS values into a hosting domain. See Email authentication records.

How to confirm the issue is fixed

  • A test message from outside your domain reaches the mailbox.
  • A test message from the mailbox reaches an address you control.
  • The mailbox has free space and the spam folder holds only messages you expect.

When to contact support

Contact support if the DNS records for hosting email are missing, if you cannot tell which records to use, or if mail stops working for every mailbox at once.

Information to include in a support ticket

  • The mailbox address and the domain.
  • The time of the problem and the sender's address, if you have it.
  • The exact error message, including any bounce message text. Never include a password.
